Coffee Dictionary – Terms of Use, Privacy Policy and Community Rules (v1 / Agreement ID: 1)

This text applies to the Coffee Dictionary website, mobile applications, and related services (events, community area, content sharing, etc.). By using the service or creating an account, you accept this text.
1) Definitions
Service: Coffee Dictionary website, mobile applications, APIs, content and all related features.
User / You: The person using the Service.
Content: Terms, descriptions, images, comments, shares, links and all data uploaded/created by the user.
Community Area: Discussion, sharing and interaction features.
Events: Event content listed, announced or managed through the Service.
2) Acceptance and Eligibility
2.1. Agreement Confirmation: You must approve this text (Agreement ID: 1) when creating an account.
2.2. Age: If you are under 18, you may only use the Service with the permission of your parent/guardian.
2.3. Compliance with Rules: By using the Service, you agree to comply with applicable laws and this text.
3) Scope of Service and Changes
3.1. The Service may offer features such as multilingual coffee terms, discovery/index, featured terms, future events and community area.
3.2. We may always change, suspend or add new features to the Service or its features.
3.3. If we update this text, we will publish the new version; we may provide reasonable notice for significant changes.
4) Account, Login and Security
4.1. Login method: Email + one-time verification code (OTP).
4.2. Uniqueness: Email and username/nickname must be unique. If not appropriate, we may show a general warning such as "Email or username is not available" (we may not specify which one).
4.3. Account security: It is your responsibility to protect access to your account. If you see a suspicious situation, please contact us.
4.4. Suspension / closure: We may suspend, restrict or terminate your account in case of security, abuse, illegality or violation of this text.
5) Prohibited Uses
The following are prohibited:
- Sharing illegal content, hate speech, harassment, threats, pornographic content, incitement to violence.
- Spam, phishing, malware, excessive requests with automation (scraping) and damaging the system.
- Unauthorized sharing of others' personal data.
- Reverse engineering the Service, exploiting security vulnerabilities.
- Infringing copyright/trademark rights.
6) Content, Intellectual Property and License
6.1. Platform content: The interface, design, brands and compiled content of Coffee Dictionary belong to us or our licensors.
6.2. User content: You own the rights to content you share/upload in the community area or your profile; however, you grant us a worldwide, free, sublicensable, transferable use license (hosting, reproduction, processing, display, distribution; only for the operation and promotion of the service).
6.3. Copyright complaint: You can contact info@coffeedictionary.com for copyright infringement notices. We may remove content in case of copyright infringement.
7) Community Area and Moderation
7.1. When the community area is opened, you are responsible for your shares.
7.2. We may remove content that violates community rules, warn, restrict or ban users.
7.3. Moderation decisions are for security and community health purposes; we may not be required to share detailed justification in every case.
8) Events
8.1. Event content may be for informational purposes. Date, location, capacity, tickets, etc. may be managed by third parties.
8.2. Risks and liabilities arising from event participation (health, transportation, cancellation, etc.) are the responsibility of the relevant organizer/participant.
9) Disclaimer and Limitation of Liability
9.1. The Service is provided "as is". It is not guaranteed to be uninterrupted, error-free or always accessible.
9.2. Content is for general information purposes; not professional advice.
9.3. To the extent permitted by law; our liability is limited for indirect damages, loss of profit, data loss, etc.
9.4. Cases that cannot be limited by law such as gross negligence/intent are reserved.
10) Privacy Policy (GDPR Compliant Framework)
10.1 Data We Collect
Account information: email, nickname, user category (coffee_lover / home_brewer / coffee_professional), preferred language.
Profile: avatar/profile image (optional).
Security/session: login attempts, timestamps, token/session information, IP and device/request logs (for security purposes). Requests from the mobile app also state its platform, version, build number and language, and our server logs record these; the install ID is not logged.
Mobile app installation: a random install ID that the app creates once per installation (shown in the app's Settings as "Device ID"; we store only a keyed hash of it, never the ID itself), the app's platform (iOS or Android), version, build number and language, your device's time zone (which we treat as your approximate location), whether notifications are allowed, the push notification token, your notification choices (news and announcements, with the time and app version in which you turned them on; important app notices; quiet hours) and when the app last registered. This is collected whether or not you are signed in; while you are signed in on that device, it is linked to your account.
App usage statistics: for each installation, the days (Istanbul time) on which the app contacted our server, with its platform, version and build number. The installation is identified only by the hashed install ID.
Notifications sent: for each notification campaign, the push token it was sent to, the hashed install ID, the account (if signed in), the language and platform, and whether the push service accepted and delivered it.
Editors: if an administrator makes you an editor, your account also holds that role and the one language you edit. When an editor adds a term, or leaves a term without a language or a category, our server sends notes by e-mail: to administrators, with the editor's nickname and the e-mail address of their account, and to the editors who could add what is missing, with the editor's nickname only. These notes come with the editor role and cannot be turned off.
Photo credits: when a term's image is credited, the name or nickname of the person who took it and one Instagram account or e-mail address, as entered by an editor or administrator. The credit is shown under the image on the website (and in the page's structured data), in the app and in the term of the day e-mail. An Instagram account is linked. An e-mail address is not shown as text, but the name links to it, so the address can be seen in the link; a credit with only an e-mail address is not published.
Term change history: for every change to a dictionary term, the time, the kind of change, who made it (the account, or for changes in the admin panel, the administrator's e-mail address) and each changed field before and after, photo credits included. Only administrators can see it.
Community/Events (future): your shares, comments, event participation data (when feature is opened).
10.2 Purposes
Account creation and authentication (login with OTP)
Running the service, personalization (language preference)
Sending the push notifications you choose: the term of the day (with an account), news and announcements (only if you turn them on) and important app notices, for example when an update is needed (on unless you turn them off). News and app notices wait until your quiet hours end. In older app versions, important app notices arrive like the term of the day, if it is turned on.
Keeping the mobile app up to date and working: update and maintenance notices, requiring an update for older versions, and counting how many installations use each app version
Editing the dictionary: crediting the photos of terms, notes by e-mail to editors and administrators when a term is added or still needs a language or a category, and the history of changes to terms
Security, abuse prevention, debugging and logging
Fulfillment of legal obligations
(Optional) Product improvement/analytics: in the mobile app, only the app usage statistics described in 10.1; on the website, the analytics tools described in 11.2
10.3 Legal Bases
Performance of contract (account and service provision)
Legitimate interest (security, fraud prevention, service quality, important app notices and app version statistics)
Explicit consent (when required; e.g., marketing e-mail and news and announcement notifications)

10.4 Retention Periods
Account data: Until you delete your account. Deleting it erases your e-mail address, nickname, profile photo and settings at once.
Security logs: Sign-in sessions and login codes, with the IP address and device stored with them, are kept while your account exists and are deleted with it. Server logs are kept for up to 30 days.
App installation data: while you are signed in on a device, until you delete your account; when you sign out, the link to your account is removed and the rule for installations without an account applies. Without an account: deleted between 90 and 100 days after the app was last opened.
App usage statistics: deleted automatically after 8 days (by a daily clean-up, so after 10 days at the latest).
Notifications sent: the delivery records of a campaign are deleted 90 days after it ends; only the totals are kept.
Photo credits: kept while the image stays on the term. Removing or replacing the image, or clearing the credit, removes it from the term; earlier credits remain in the term change history.
Term change history: kept with no fixed end date. Deleting your account does not remove it; it then shows your account as deleted, without its nickname or e-mail address.
Editor notes by e-mail: not stored in our database. Our server logs record each recipient's address and are kept for up to 30 days.
Deletion request: Carried out at once, as described in section 12 and at https://coffeedictionary.com/en/account/delete.
10.5 Data Sharing and Transfer
Infrastructure providers: Sharing may be made with suppliers such as hosting, database, email sending, file storage (e.g., Google Cloud / CDN) only to provide the service.
Push notifications: to deliver notifications, the push token and the text of the notification are sent to Expo (650 Industries, Inc., USA), which passes them to Apple's or Google's push service. When the app requests a push token, these services also receive identifiers they create for the installation. Our install ID is sent only to our own server.
Transfer abroad: Our server/storage may be abroad. Necessary protections (contractual measures, security measures) are applied within the scope of GDPR.
10.6 Your Rights
Within the GDPR framework; you may have rights such as access, rectification, deletion, objection, restriction, portability. For application: info@coffeedictionary.com.
10.7 Security
We implement technical/organizational measures to protect your data (access control, encryption, logging, rate limiting, etc.). However, 100% security cannot be guaranteed due to the nature of the internet.
11) Cookie Policy
11.1. Cookies may be used for session management and security on the web (e.g., HttpOnly session cookies).
11.2. On the website we use analytics tools to understand how pages are used (for example clicks, scrolling and session recordings). Their cookies are set only after you accept them in the cookie banner. You can change your choice at any time with "Cookie settings" at the bottom of every page.
12) Account Deletion
12.1. You can delete your account in the application, on the website (Profile) or by e-mailing info@coffeedictionary.com from your account's address. Deletion permanently erases your personal data (e-mail address, nickname, profile photo, sessions, settings, notification registrations, and the app installations registered to your account with their notification choices and the notifications sent to them) and cannot be undone. If the app stays installed on a device, it then registers again as an installation without an account (see 10.4). You may later sign up again with the same address; that creates a new, empty account. 12.2. Terms, suggestions and comments you contributed stay on the platform under the name "Deleted user", without your photo or contact details. Your changes to terms stay in the term change history (see 10.4), and photo credits stay with their images as they were entered.
13) Disputes, Applicable Law and Jurisdiction
13.1. This text is interpreted in accordance with the laws of the Republic of Türkiye.
13.2. The Courts and Enforcement Offices of Antalya are authorized in disputes.
